Set up and modify settings for your AR Automation account.

Manage your AR Account Settings

You can modify all the settings for your account modules in one place, the Preferences page. To access the Preferences page, click your initials at the bottom of the left navigation panel > click Settings > and select Preferences.

Invoice Settings

Invoice Settings are configuration options for invoices created in AR Automation or your accounting system.

Compatible with all accounting systems, unless otherwise indicated.

Allow Duplicate Invoice NumbersAllow duplicate invoice numbers in AR Automation. This setting is disabled by default for accounting systems that do not support this setting: Intacct, Xero, NetSuite.
Default NotesDefault notes for invoices created in AR Automation.
Default TermsDefault terms for invoices created in AR Automation. Terms and Notes are sections available to you for any details you would want to add to the invoice, such as notes about payments or fees. The section only shows on an invoice if there is text in the field.
Use Accounting System PDFChoose to display the invoice PDF generated in your accounting system instead of the AR Automation template. If enabled, the invoice PDF is generated in the accounting system (using the accounting system invoice template) and imported into AR Automation.
Use Xero Invoice TemplateSelect the Xero invoice template used for invoices created in AR Automation. If enabled, you can select the invoice template on the invoice creation page.
Only compatible with the Xero accounting system.

Accounting Settings

AR Automation has integrations with multiple accounting systems. Accounting Settings is a list of settings to configure your accounting setup, as well as customize the synchronization flow with your accounting system.

These are compatible with all accounting systems.

Default Invoice Billing ContactThis setting is to determine who should receive cadence communication specific to invoices. This is specified on a customer or invoice level.
Allow Duplicate Account NumbersSetting to allow customers to have duplicate account numbers in AR Automation.
Customer StatusSynchronize all or only Active customers from your accounting system.
Sync customers to Accounting SystemSynchronize new customers created in AR Automation to your accounting system.
Sync Parent-Child RelationshipSynchronize customers' parent-child relationship from your accounting system.
Do not Sync to Accounting SystemSetting allows you to exclude the following items from the accounting systems sync when they are created in AR Automation: customers, invoices, tax rates, items.
Do not Sync from Accounting SystemSetting allows you to exclude the following items from the accounting systems sync to AR Automation: customers, invoices, tax rates, items, credit memos, invoice templates, sales rep, sales orders, etc.

Accounting System: Intacct

Settings that are only applicable to Intacct.

Assign Intacct Customer IDUse the Intacct ID as the account number for customers created in AR Automation.
Always create invoices on top levelCreate invoices at the top level in Sage-Intacct instead of the entity.
Always create customers on top levelCreate customers at the top level in Sage-Intacct instead of the entity.
Default Customer Billing ContactThe default customer billing contact receives account-level, non-invoice-based cadence communication, such as statements. Choose between Display Contact or Bill to Contact.
Custom Multi-Entity FieldUse this field in Intacct to create a custom multi-entity structure between Intacct and AR Automation. Specify the Intacct field name in this setting to accomplish mapping.
Export Order Entry Invoice TypeInput the order entry invoice type used for invoices exported to Intacct from AR Automation.
Import Customers' AttachmentsIf enabled, attachments on the customer and invoice levels are imported from your Intacct account.
Check No/Doc No Field MappingAllows you to select whether you want to submit invoice number or payment reference number to record payments in Intacct.

Accounting System: NetSuite

Settings that are only applicable to NetSuite.

Default LocationSelect the default location for new customers and invoices created in AR Automation.

Accounting System: Xero

Settings that are only applicable to Xero.

Accounting System: QuickBooks Online

Settings that are only applicable to QuickBooks Online.

Sync Display Name with Accounting SystemThis setting allows you to customize the customer name independently of QuickBooks. The Display Name is visible to customers on payment links, the customer portal and statements.
Override Default Billing ContactBy default, the Default Billing Contact is imported from your accounting system. This setting allows you to set the Default Billing Contact in AR Automation. The Default Billing Contact is sent cadence communication and can be invited to the Customer Portal.

Accounting System: QuickBooks Desktop

Settings that are only applicable to QuickBooks Desktop.

Sync Display Name with Accounting SystemBy default, the customer Display Name is only synced from QuickBooks the first time a customer is imported. This setting keeps the customer's Display Name in sync with QuickBooks. The Display Name is visible to customers on payment links, the customer portal and statements.
Use customer Tax RateThis setting allows invoices created in AR Automation to use the default tax rate, as determined by QuickBooks, for the customer.
Disable email fallback for sub-accountsWhen this setting is enabled, sub-accounts without an email address do not use the email from the parent account for cadences.
Use Invoice AR Account to record PaymentsThis setting is enabled by default to submit your payments to the invoice AR account in your QuickBooks Desktop account.

Payment Settings

Payment Settings helps you set up your AR account for processing transactions and configure Payment Gateway Integration capabilities.

Enable Auto retry for PaymentsWhen this setting is enabled, failed payments that were charged automatically are retried 3 times over the next 72 hours.
Enable Partial PaymentsEnable this setting to allow customers to make partial payments. Partial payments are not allowed when paying more than one invoice.
Submit Pending ACH Payments to Accounting SystemThis setting submits ACH payments to your accounting system once they are initiated, instead of waiting until they clear. Should an ACH payment fail, you must manually reverse the payment in your accounting system.
Don't save payment methodsWhen this setting is enabled, new payment methods are not saved (tokenized) in AR Automation. The payment method is still available in your BlueSnap vault.
Available Payment methodsSelect which payment methods you want to allow your customers to use: CC Payments, ACH, SEPA, Local Bank Transfer, PayPal, Mobile Wallets (Google/Apple Pay).

Payment Settings for the BlueSnap Payment gateway

Sync BlueSnap Vaulted ShoppersThis setting syncs "shoppers" created in BlueSnap as "customers" in AR Automation. A new customer record is created and synced to the connected accounting system, if the shopper is not already linked to a customer in AR Automation.
Sync Vaulted Shoppers as ProspectsSync BlueSnap "shoppers" as "prospects" instead "customers". Prospects are not synced with accounting systems.
Sync Payment Methods with BlueSnapThis setting syncs updated payment methods between BlueSnap and AR Automation.
Sync Payments with BlueSnapImport payments from BlueSnap. The shopper must be linked to a customer record or an invoice number must be provided in the Merchant Transaction ID metadata field.
Sync Vaulted Shoppers as payment methods not linked to customersImport payment methods to AR Automation even if they are not linked to the customer record in the AR account.
Allow To Sync Payments Without CustomerImport payments from BlueSnap, even if there are no customers or invoices associated with the payment.
Return and Refund PolicyReturn and Refund Policy displayed on the payment receipt. Required if surcharge is enabled for the account.
Payment Receipt NotesNotes displayed on the payment receipt.

Communication Settings

In Communication Settings, you adjustment your communications dispatch settings. The "Communication Type" column below indicates the communication type to which the setting applies.

CRM: Salesforce

CRM settings allow you to set up accounts receivable automation capabilities with your Salesforce integration.

Field that contains Accounting System ID of an Account
Select CRM Account Field that contains the accounting system ID of an account. This is used to match customer records between Salesforce and your accounting system.
Override Ownership with Salesforce Synchronize Salesforce customer ownership.

Customer Portal

Customer Portal settings allow you to customize the behavior of the customer portal as well as enable/disable Customer Portal access for your entire account.

Display Auto-Pay OptionsDisplay Enable/Disable Auto Payment options in the Customer Portal.
Disable Customer PortalDisable/enable Customer Portal access for customers on the company account level. If access is disabled, all the mentions of the Customer Portal are removed from the payment pages (login button, request access button, etc.).
Display Invoice Number field on Generic Payment PageEnable/disable the display of the Invoice Number field on the Generic Payment Page. If disabled, the customer cannot specify the invoice number to automatically apply the payment.
Display Account Number field on Generic Payment PageEnable/disable the display of the Account Number field on the Generic Payment Page.
Display Notes field on Generic Payment PageEnable/disable the display of the Note field on the Generic Payment Page.
Display Currency field on Generic Payment PageEnable/disable the display of the Currency field on Generic Payment Page. If not selected, a default company currency is used.
