Connect Your ERP/Accounting System

AR Automation can be used with a standalone billing system or in conjunction with your current accounting system. When connected with an accounting system, AR Automation synchronizes customers, invoices, payments, items, and tax rates automatically, every two hours (and in real-time for QuickBooks Online).

When the systems are first connected, all customers, open invoices, and paid invoices are pulled in. This provides a full and up-to-date billing history in the portal. The initial synchronization can take several hours to complete, depending on the total number of customers and invoices in the account.

To connect your accounting system:

  1. Click on your initials in the lower-left corner.
  2. Click Account > Accounting.
  3. To complete the accounting system setup, click on your initials again.
  4. Click Settings > Preferences > Accounting tab.
    This is where you configure your integration.

Data synchronization log

AR Automation's data synchronization log provides details about the data synchronization between your AR Automation account and your ERP/accounting system in real-time. You'll be able to view details such as the sync date/time of any customers, invoices, and other objects that were imported into your AR Automation account.

To access your sync log, follow these steps.

  1. In your AR Automation account, go to Account > Accounting.

  2. In the Sync Log section, you can view a summary of each sync session, such as the session date/time, the number of customers and invoices that were created, and more.

  3. To view more details about a session, click the session in the Sync Date column.
    You can view specific details about each event that took place in that session.
    For example, track the date and time of each event, as well as the event description (such as Invoice Updated), details about the specific record that was affected, and more. If a record was not imported, the reason can be found in the Reason column.
