Segments

Smart lists and tags to segment customers, invoices, and other data into groups

Segments let you sort customers into separate groups. This simplifies all information and allows you to easily find specific groups of customers or invoices based on their attributes.

Create a Segment

  1. In the Settings screen, click Segments.
  2. In the Segments screen, click New Segment in the top-right of the screen.
  3. In Name, enter the name of the segment. This is how the segment is displayed throughout the system.
  4. In Object Type, select either Customer and Invoice.
  5. Select the Color. The segment will be highlighted with this color on the Customer/Invoice list page.
  6. Enter the Condition the object must match, using the Add Field option and the available criteria.
  7. Click Save in the top-right of the screen.

Now any customer or invoice that matches the criteria is tagged with the segment name.

Segment Filters (Conditions)

Any Customer filter can be used as a customer segment condition, so you can create a list of customers based on Auto Payment setting or payment method availability.

In addition to standard filters, the AR Automation system provides advanced segment conditions at the customer and invoice levels.

Customer Level

  • Customer DSO in Days — Customers with Days Sales Outstanding greater than X days or with Days Sales Outstanding less than X days.
  • Last Customer Portal Login [Date Range]
  • Last Payment Link Viewed [Date Range]
  • Last Email Viewed [Date Range]
  • Customer Aging Period (30, 60, 90, 90+) — This condition utilizes the oldest open invoice for a customer to determine the aging bucket they would fall in.
  • Customer Lifetime Value — Customers with a lifetime value greater than $10,000.
  • Customer Lifetime Paid Value — Customers with a lifetime paid amount less than $10,000.

Invoice Level

  • Invoice Follow up needed — Returns invoices on a cadence with no scheduled ToDo tasks.
  • Payment method needed — Invoices that qualify for one or more auto payment rule but no payment method on file for customer so payment cannot be charged automatically.
  • Initial invoice —This filter returns first invoice (by invoice date) created for a customer.
  • Unsent invoices —This filter returns Invoices without any sent communication based on a Cadence. Manually sent invoices/communication does not quantify for this condition.

Default Segments

By Default, your account has the default segments created for Customer and Invoice lists.

The default Segments are not editable.

Customer Segments

  • Name: Good Payers. Condition: Customer DSO > 30 days.
  • Name: Bad Payers. Condition: Customer DSO < 90 days.
  • Name: Non-Engaged Customers. Condition: Customers with none of the following within the last 90 days:
    • No customer portal logins
    • No payment links viewed
    • No emails viewed
  • Name: Engaged Customers. Condition: Customers with one or more of the following within the last 90 days:
    • Customer portal logins
    • Payment links viewed
    • Emails viewed

Invoice Segments

  • Name: Initial invoice
  • Name: Unsent invoices
  • Name: Follow up needed

Viewing Segments

Segments can be utilized as filters on both Customer and Invoice lists, allowing you to efficiently organize and access the specific data you need.

Additionally, segments can be included as an optional column in the Customer or Invoice list for easy visibility. To add a segment as a column:

  1. Navigate to the Customer or Invoice list page.
  2. Click on the Settings button (gear icon) located on the page.
  3. Select the desired segment you wish to add as a column.
  4. Click Save to apply the changes.
