AI Assistance

BlueSnap's SuiteApp can be configured to use NetSuite's built-in generative AI to help with two things. First, it can help you to understand why a BlueSnap payout did not reconcile, and second it can help with answering questions related to setup and configuration.

Both of these AI features are off by default and the AI output never creates, changes or deletes a transaction, a deposit or a setting.

What the AI Features Will Do

FeatureWhereWhat it does
Suggested fixesReconciliation preview of a BlueSnap Payout that cannot be depositedExplains in one sentence why the payout is blocked and lists up to three fixes, each naming the record and field to change.
Setup AssistantBlueSnap → General → Setup AssistantAnswers questions about configuring BlueSnap — surcharge, auto-reconciliation, refunds, Pay Balance links — using the BlueSnap documentation and your account's current BlueSnap settings

Both services use NetSuite's own generative AI service so there is nothing to buy or configure outside of NetSuite. All your AI requests draw from your account's NetSuite AI Units.

Turning AI assistance on and off

  1. Go to Setup → Accounting → Payment Processing Profiles and open your BlueSnap profile.
  2. Check Enable AI Assistance.
  3. Save.

The Suggested fixes follow the profile of your payout being reconciled: a payout from a profile without the box checked never shows the panel and never calls the AI.

The Setup Assistant is available when at least one active BlueSnap profile has the box checked, otherwise the page explains how to turn it on.

To turn everything off, uncheck the box on every BlueSnap profile. Nothing else changes so your reconciliation, surcharge, refunds and payments behave exactly as before.

NetSuite offers generative AI only in some regions. If your account is not in one of them, the features say so and the rest of the SuiteApp is unaffected.

Suggested fixes on a blocked reconciliation

When the reconciliation preview cannot create the Bank Deposit, it shows a red Action required box listing the reasons and with the AI assistant on, a blue Suggested fixes panel will appear.

  • The red action box is unchanged. The figures, the reasons and the decision to block are calculated without AI, exactly as before. The panel only explains them.
  • The page does not wait for the AI. The panel shows Analysing this payout and fills in a few seconds later.
  • A payout that reconciles never calls the AI.
  • Re-opening a blocked payout is free. The suggestion is saved on the payout and reused until the payout's figures change (for example after you book the missing transaction).
  • A suggestion that quotes a wrong amount is never shown. Every amount in the suggestion is checked against the payout's own figures; if it mentions an amount that is not there, the whole suggestion is withheld and the panel says so. Use the red box in that case.

The panel covers every blocked case: transactions not found in NetSuite, transactions whose NetSuite records do not add up (typically a missing surcharge Cash Sale), a computed net that does not match Total Disbursement, a non-zero adjustment with no account configured, and missing Auto-Reconciliation Settings rows.

It also covers a payout whose preview looks fine but whose last reconciliation attempt failed while creating the Bank Deposit — for example a payment that is already on another deposit, or a bank account that belongs to a different subsidiary. The preview then shows an amber The last reconciliation attempt did not create a deposit box with the payout's Reconciliation Note, and the panel explains it. Pressing Create Bank Deposit again fails the same way until the cause is fixed.

Always check a suggestion before acting on it. The fix itself — booking a transaction, entering a BlueSnap Transaction ID, adding a settings row — is always done by you, in NetSuite, as usual.

The Setup Assistant

Open BlueSnap → General → Setup Assistant and type a question, for example:

  • Why isn't my surcharge being booked separately?
  • Which Auto-Reconciliation Settings rows do I need for EUR?
  • How do I regenerate expired Pay Balance links?
  • Can I refund more than the original charge?

Each answer is built from:

  • The sections of the BlueSnap guides that best match the question (listed under the answer as Sources)
  • A read-only snapshot of your BlueSnap settings, taken when you ask a question. Each BlueSnap profile's surcharge, auto-reconciliation, payment-link, Pay Balance and AI settings, your Auto-Reconciliation Settings rows, a few NetSuite features (OneWorld, Multiple Currencies, Departments, Classes, Locations) and whether the main BlueSnap scripts are deployed.

From the snapshot the assistant also gets a list of known configuration problems — for example "Enable Surcharge is checked but CC Surcharge Item is empty" or "no active Fee row for USD" — which it points out when they are relevant to your question.

The assistant cannot change settings. It is told to say "I don't know" rather than guess, and to use only record and field names that appear in the guides or your settings. The conversation is kept only in your browser tab; closing the page clears it.

Do not type passwords, API keys or card numbers into the assistant.

What is sent to the AI, and what never is

What is sent is built from a fixed list of allowed items; nothing else on the record is read.

  • Suggested fixes send a summary of the blocked payout:
  • The payout's NetSuite record id, BlueSnap payout id, currency and subsidiary id
  • Counts of BlueSnap transactions (mapped, not mapped, not balancing)
  • Up to 10 problem transactions: the BlueSnap Invoice ID, the transaction type, the amount BlueSnap reported and the total NetSuite holds, and the NetSuite record ids and types
  • The payout-level adjustments and the account ids they post to
  • The totals (payments, fees, adjustments, computed net, Total Disbursement, difference) and the reasons shown in the red box.

The Setup Assistant sends your question along with the last few turns of the conversation, the matching documentation sections and the settings snapshot.

Never sent: card numbers, security codes, bank account numbers, customer names or contact details, the BlueSnap API username or password, or any other credential.

Requests are processed by NetSuite's generative AI service, which runs on Oracle Cloud Infrastructure. See NetSuite's documentation on generative AI availability and data handling for where requests are processed for your account. If your organisation does not allow this, leave Enable AI Assistance unchecked.

When the AI Cannot Answer

The panel will display a short message instead of an error, and the rest of the page keeps working.
